Property management agencies can report the contact details of shareholders to the Residential and Commercial Property Information System

Property management agencies can report larger batches of apartment owners’ email addresses. Email addresses to be added to the Residential and Commercial Property Information System must be submitted to the National Land Survey of Finland.

Follow these steps

  • Ask the consent of the owner of the apartment to the property management agency submitting their email address to the National Land Survey of Finland. The email address will be updated in the Residential and Commercial Property Information System for the delivery of invitations to annual general meetings and other communication from the housing company.  
  • If the owner of an apartment is subject to an order of non-disclosure for personal safety reasons, make sure that the email address they have provided is secure.
  • Compile the email addresses in an Excel spreadsheet. Include the following information by column in text format:
    • Share group identifier
    • Apartment owner’s personal identity code or Business ID
    • Email address
    • Apartment owner’s name
    • Submit the email addresses for apartment owners whose personal identity code or Business ID you do not know in a separate spreadsheet.
  • Send the email addresses as a secure email to htjyhteystiedot@maanmittauslaitos.fi. The message must include a note that a representative of the property management agency is submitting the email addresses to the Residential and Commercial Property Information System as a representative authorised by the apartment owners. Consent forms need not be enclosed, but the National Land Survey of Finland may request them if necessary.  

The National Land Survey of Finland will add the email addresses to the Residential and Commercial Property Information System within approximately two weeks. The housing company and property manager will not receive any separate notification when the email addresses have been added.

Starting in early 2026, apartment owners will be able to submit their changed email addresses and contact details to the Residential and Commercial Property Information System themselves.
