Privacy policy: Personal data in invoicing

Why is personal data processed?

If you purchase products or services from the National Land Survey of Finland (NLS), the NLS will process your personal data for invoicing, the processing of payments and bookkeeping purposes. 

If you sell work or services to the NLS as a private entrepreneur, the NLS will process your personal data for the purpose of payment and bookkeeping. 

What is the basis for the processing of personal data?

The NLS processes personal data to comply with its statutory obligations. 

The Finnish Government Shared Services Centre for Finance and HR (Palkeet) acts as a joint controller of personal data with the NLS. Some personal data is stored in the information systems of Palkeet.  

Whose personal data is processed?

The NLS processes the data of customers who purchase products and services, such as extracts and certificates, from the NLS. 

The NLS processes the data of private entrepreneurs who sell services to the NLS.

What personal data is processed? 

The NLS processes the following personal data when you purchase products or services:

  • Names
  • Personal identity codes  
  • Contact details: email, postal address, telephone number
  • Price and other information of the product or service purchased
  • Invoice payment details
  • Information about payment plan, debt collection and enforcement 

The NLS processes the following personal data when you sell products or services: 

  • Service provider’s name
  • Personal identity code  
  • Business ID
  • Contact details  
  • Information about whether the service provider is included in the prepayment register  
  • YEL (Self-Employed Persons’ Pension Act) or MYEL (Farmers' Pensions Act) pension insurance certificate
  • Tax card
  • Purchase price or other compensation paid

Is automated decision-making or profiling used?

The processing of personal data does not involve any automated decision-making or profiling.  

How long is the personal data retained?

The NLS retains the personal data for the duration of the invoicing and debt collection process, and for the period required by law thereafter. Accounting records are retained for at least six years. 

Where does the personal data come from?  

The NLS obtains data from individuals themselves and from the Population Information System. 

To whom is personal data disclosed?

The NLS does not disclose data on a regular basis.  

Personal data is not transferred outside the EU or EEA. 

What are your rights in relation to the processing of your personal data?

You have the right to be informed whether the NLS is processing your personal data and if so, which data. You may submit a request to view your personal data using our form or submit a free-form request.

You have the right to request that the NLS rectifies any inaccurate personal data without undue delay. You  may submit a request for rectification using our form or submit a free-form request. 

Right to lodge a complaint with the Data Protection Ombudsman

You have the right to lodge a complaint with the Data Protection Ombudsman if you are of the opinion that the NLS has violated legislation on the processing of personal data.
