Professional building manager: this is how you can submit information

Professional building managers who use a building management system must submit information about maintenance and alteration work in their housing company and financial information about housing companies, meaning apartment-specific loan and maintenance charge shares to the Residential and Commercial Property Information System.

  • Agree with the housing company on responsibilities for submitting information.
  • Check if your building management system has built or is in the process of building functions for submitting your housing company’s administrative information.
  • Read your building management system’s instructions on how to submit your housing company’s administrative information to the Residential and Commercial Property Information System.
  • To successfully submit information, the building management system requires access rights to the Residential and Commercial Property Information System.

Be prepared to submit information

Have the following information ready:  

  • projects carried out in the housing company (as in the building manager’s certificate)
  • most recent description of maintenance needs
  • renovations carried out by shareholders after 1 June 2023
  • If you need help in using the building management system, contact your system supplier.

Assign a permanent building identification number to the buildings in your housing company

You can assign permanent building identification numbers to your housing company’s buildings in the ‘Maintenance of apartment information for housing companies’ e-service. A permanent building identification number specifies a building and remains with it throughout its entire lifecycle. Assigning a permanent building identification number is voluntary.

The e-service automatically generates proposals for permanent building identification numbers by cross-referencing building details across different registers. An assessment of the compatibility of the proposed building identification number with the housing company’s building details is shown for each proposal. Proposed identification numbers are also shown on a map.

What information is not necessary for the housing company or building manager to submit?

  • information about any scheduled maintenance and minor repairs conducted by a housing company
  • maintenance loans related to the continuous operation of housing companies
  • fees for use such as laundry room fees and sauna fees
