Apartment owner’s contact details

The owner of the apartment must always notify the National Land Survey of Finland of any changes to their email and contact information that does not update automatically. 

When does the contact information not update automatically? 

Contact details are never updated automatically in the following situations: 

  • an apartment is owned by an individual who does not have a Finnish personal identity code
  • an apartment is owned by a company that does not have a business ID
  • the apartment is owned by a death estate
  • the apartment is owned by a person who has a guardian or a continuing power of attorney
  • the apartment is owned by a person who is subject to an order of non-disclosure for personal safety reasons or a prohibition on the disclosure of contact details.

How to submit your contact information

If you have applied to register the ownership of your apartment, we will update the contact information in the apartment information system as we process your application. This means that you do not need to provide your contact details separately if the matter is not urgent. 

If you are under a non-disclosure for personal safety reasons, only notify the National Land Survey of a safe postal address.  

  1. First, check if your contact information is up to date in the apartment information system. You can check your contact details from our online service (private customers and organisations, in Finnish or in Swedish).  
  2. If your contact details are not up to date, please submit them via the e-service in the following situations:

    - you want to submit your email address, or your email address changes. 

    - you want to submit a postal address that is not in the Population Information System. 

    - you want to submit a postal address that is not in the Business Information System. 

  3. Please submit your contact details on the pdf form in the following situations: 

    - you want to submit the name and contact details of the estate representative or a change in them. 

    - you want to submit the name and contact details of the guardian or attorney, or a change in them. 

Submitting the contact details of the estate

Please include a copy of the estate inventory deed as an attachment. Before submitting contact details, please ensure that you have the consent of all parties to the estate. If necessary, each party can submit their own contact details to the register. 

Electronic invitations to shareholder meetings

The housing company can use the contact information in the apartment information system to send an invitation to the shareholder meeting, for example. If you want to receive invitations to your housing company’s shareholder meeting by email, first check with your building manager if the housing company can do that. Only submit your email address to the National Land Survey after that.  

If your email address changes, be sure to submit the new email address via the e-service. Your email address will not be automatically updated.

Start by contacting the building manager to identify whether you can receive your invitation by email and whether the housing company has your email address. If the housing company does not have your email address, you can submit it via the e-service (in Finnish or in Swedish)

No, you cannot. Only one email address can be saved for each owner in the Residential and Commercial Property Information System. If an apartment has several owners, an email address for communication with the housing company can be saved for each of them.

When acting on behalf of a death estate, the parties to the estate should apply for the registration of the ownership of the apartment owned by the estate. Enter the contact information of the death estate’s contact person in the registration application. There may be several contact persons. If there are several parties, you will require a power of attorney from the other parties if they do not participate in the shareholders’ meeting.  

If no clarification of ownership has been registered, the parties to the death estate will not be shown in the Residential and Commercial Property Information System. Parties to a death estate can submit their contact information. Please note that you need to prove that you are party to a death estate by presenting the estate inventory when participating in the shareholders’ meeting. You will also require a power of attorney from the other parties to the death estate if they do not participate in the meeting.  
 

Submit your contact information to the housing company immediately after the transaction so that it has access to the information before your ownership has been registered in the Residential and Commercial Property Information System.
