Instructions: Apartment owner’s alternative contact details in the housing company’s list of shares

These are instructions on how to complete an application on adding the contact details of an apartment owner to the housing company’s list of shares.

Submit apartment owner’s contact details

Owner’s contact details

You can use the form to submit the contact details of one owner at a time. Submit any contact details of further owners using their own forms.

If a guardian or attorney submits their own contact details instead of the owner’s contact details, the name of the guardian/attorney must be stated here and their contact details in the following sections.

The contact details of a contact person authorised by the parties to the estate can be submitted for an apartment owned by a death estate. The notification may be submitted by a party to the estate or a person authorised by them. If necessary, all parties may also submit their contact details under ‘Additional information’ for communication by the housing company. If there is no registration of clarification of ownership for the parties to the estate in the register of housing company shares, a copy of the deed of estate inventory and/or other proof of the notifier’s right to submit their contact details must be attached to the notification. Submit the contact details of several contact persons under ‘Additional information’ or in a separate attachment.

An estate administrator appointed for the death estate may also submit their contact details using this form. The notification must be accompanied by a decision by a court of law on the appointment of the estate administrator.

PLEASE NOTE: Do not submit any information subject to an order of non-disclosure for personal safety reasons. In the case of an individual with an order of non-disclosure, only submit a secure postal address.

Email address

By submitting your email address, you give the housing company permission to send invitations to annual general meetings and other information for the owner of the apartment by email. The email address will be disclosed only to the housing company, and it will not be entered in the list of shares or disclosed to any third parties.

Alternative postal address

Submit an alternative postal address if you want the list of shares to contain a postal address apart from that indicated in the Population Information System (VTJ) or the Business Information system (YTJ).

The addresses of foreign shareholders (individuals who do not have a permanent Finnish personal identity code or non-Finnish companies) and the addresses of the parties to a death estate or the contact person of a death estate are not automatically updated from VTJ or YTJ, which is why they must declare any changes to their address using this form.

Deleting a previously submitted address

An alternative postal or email address may have been previously submitted to the Residential and Commercial Property Information System in connection with the registration of ownership or using this form.

Tick the option on deleting the alternative postal or email address if you no longer want to use the previously submitted address and want the address information to be updated via the Population Information System (VTJ) or the Business Information system (YTJ) instead.

Submitting the contact details of owners with an order of non-disclosure for personal safety reasons or a prohibition on the disclosure of contact details

A person with an order of non-disclosure for personal safety reasons issued by the Digital and Population Data Services Agency or a prohibition on the disclosure of contact details based on a decision by the National Land Survey of Finland can use this form to submit a secure postal or email address for the housing company, in which case the housing company will receive the party’s contact details directly from the Residential and Commercial Property Information System.

If a person who has been issued a prohibition on the disclosure of contact details wishes to submit a secure address to the National Land Survey of Finland, it must be done using this form, but not until the decision on the non-disclosure of contact details has been made. If no secure contact details have been submitted to the National Land Survey of Finland, the owner must submit their contact details directly to the housing company.

A secure address is one that does not indicate the owner’s residence, such as a home address. The owner determines which contact details they consider secure. 

Target information

Tick the option “Haluan, että poikkeava osoite kirjataan kaikkiin huoneistotietojärjestelmässä tällä hetkellä voimassa oleviin omistuksiini” (I want the alternative address to be applied to all my currently valid ownerships in the Residential and Commercial Property Information System) if you want to submit the same contact details for all of your ownerships in the Residential and Commercial Property Information System.

If you want the alternative postal or email address to apply only to some of your ownerships, add the details of the share(s).
