Information for apartment owners

The Residential and Commercial Property Information System is a register that was introduced in 2019. The register containd information about the ownership, pledges and restrictions on the right of possession pertaining to residential and commercial properties, such as apartments and parking spaces. The old share certificates will be replaced by electronic records of ownership.

All housing companies should have transferred their lists of shares to the Residential and Commercial Property Information System by the end of 2023.

Registration of ownership

The owner of an apartment can apply for registration of ownership when the housing company has been registered in the Residential and Commercial Property Information System.

By answering the questions in our interactive instructions, you can check how to apply for registration of the ownership of your apartment in various situations, for example, when you have a paper share certificate or an electronic record of ownership.

Registrations of pledges and a right to use

Registration of pledge can be applied for when the owner-apartment has a record of ownership, that is, the ownership of the apartment has been registered in the Residential and Commercial Property Information System. You can apply for registration of the pledge and ownership at the same time.

Registration of a right to use can be applied for when the housing company has been registered in the Residential and Commercial Property Information System even if the apartment does not yet have a record of ownership.

Information about your owner-apartment

When your owner-apartment has an electronic record of ownership, you can use the NLS e-service to check the basic information about your apartment free of charge.

You can also use the service to purchase an owner-apartment printout or the public list of shares:

  • The owner-apartment printout includes the basic information of the group of shares as well as its ownership, pledge and restriction information in the Property Information System.
  • The public list of shares includes basic information about the housing company, its apartments and their owners.

Owner contact information

When the housing company has been registered in the Residential and Commercial Property Information System, the postal address of the apartment owner is generally updated automatically from the Population Information System. If the apartment is owned by a business, the postal adress is generally updated automatically from the Business Information System.

Housing companies use contact information in the Residential and Commercial Property Information System to send invitations to shareholders’ meetings, for example.

The contact information is never updated automatically in the following situations:

  • The apartment is owned by someone who does not have a Finnish personal identity code
  • The apartment is owned by a business that does not have a Business-ID
  • The apartment is owned by the estate of a deceased person
  • The apartment is owned by a person who has been appointed a guardian or who has issued a valid continuing power of attorney

If you are unsure whether your contact information is current in the Residential and Commercial Property Information System, you can check the information in the NLS e-service (individual and organisational customers, in Finnish or Swedish).

How to file contact information 

Apartment owners must only file those contact information changes that are not updated automatically.

Use our online form to file your contact information in the following situations:

  • you want to file your e-mail address, or your e-mail address has changed
  • you want to file a postal address that is not in the Population Information System
  • you want to file a postal address that is not in the Business Information System

Use our pdf-form to file your contact information in the following situations:

  • You want to file the name and contact information of a representative of an estate of a deceased person or modify this information.
  • You want to file the name and contact information of an appointed guardian or the holder of a continuing power of attorney (the attorney) or modify this information.

Please note! If you have a valid non-disclosure for personal safety reasons, only include your secure postal address on this form.

If you have applied for the registration of ownership of an apartment, we will update the information in the Residential and Commercial Property Information System when we process the application. Unless the matter is urgent, you do not need to update your contact information in those cases.

If you want to receive your invitation to your housing company’s shareholders’ meeting, first check from you building manager whether your housing company can send the invitations by email. If the answer is yes, submit your email address with this form.
