Do you own an apartment? Please check your contact details to receive notices of the General Meeting at the correct address

The National Land Survey, the Finnish Real Estate Management Federation and the Finnish Real Estate Federation encourage apartment owners to check and update their postal and email addresses in the National Land Survey’s Residential and Commercial Property Information System to make sure that recipients receive their notices of the general meetings. This check concerns 1.8 million housing company shares in Finland.

It is a new year and the annual general meeting season at housing companies is about to begin. In Finland, there are about 300,000 apartment owners that live at a different address from their owned properties.

‘Housing companies receive the contact details for each apartment from the Residential and Commercial Property Information System for communication and management purposes. Housing companies can also send the general meeting notice by email instead of paper mail, if apartment owners add their email address to their contact information,” says Janne Murtoniemi, the director for Apartment Ownership Services at the National Land Survey of Finland. 

Check your information and include your email address in the National Land Survey of Finland’s online service

As a rule, the Residential and Commercial Property Information System receives updates to the postal addresses of apartment owners directly from the Population Information System, while owners have to report their email address to the system manually. Check which contact information the housing company has for your owned apartment the National Land Survey’s online service.  If your contact details are not up to date, make sure to update them. Let us know your new email address or correct your old one.

Jenni Valkama, senior legal specialist at the Finnish Real Estate Management Federation, welcomes the ability of apartment owners to ensure that their information is up to date. Even if the email address is included in the apartment information system, the housing company can still choose how to send the invitations.

The Finnish Real Estate Federation also considers it necessary.

“We think this is a good and necessary thing. Now, it is convenient and quick to update your contact details, which you can do on your own if necessary,” says Virpi Heinonen, senior legal specialist at the Finnish Real Estate Federation.

Renovation and loan data to be available to apartment owners in late 2026

There is currently a major project underway for the housing companies, as property managers report the housing companies’ administrative data to the system, which include data on renovations and loans. The deadline for submitting this data is at the end of June 2026. After the deadline, property managers must update the housing company’s data in the system at least once per year. Later in 2026, apartment owners will also be able to see the renovations and loans of their housing company, as well as shareholder renovation data about their own apartment in the National Land Survey of Finland’s online service.

There are approximately 90,000 housing companies in Finland.

•    Approximately 94 % of them maintain their lists of shares in the Residential and Commercial Property Information System.
•    There are approximately 1.8 million housing company shares in Finland.
•    More than 30% of housing company shares (about 580,000) have already been converted to the electronic format.
•    Examples of apartments include, in addition to residential apartments, commercial premises, parking spaces and storage rooms.
•    Approximately 18,000 housing companies have reported their administrative data to the Residential and Commercial Property Information System.
